Challenge

The challenge had four focus areas, each rooted in the reality of running reporting across disconnected systems.

Fragmented data

Placement, pipeline, HR and finance data lived in separate platforms with no single view, so building any cross-cutting report meant pulling from several places by hand.

Manual effort and lag

Copying figures between systems is time consuming and error prone, and by the time a report was assembled the underlying numbers had often moved on.

Accurate forecasting and margin

The business needed actuals set against forecast, gross margin calculated from real salary and cost data, and visibility of leave and notice exposure that affects delivery capacity.

Fit within their environment

The solution had to deploy cleanly into the client's own AWS account and work alongside their existing setup without disruption.

Solution

The integration is entirely serverless. A separate AWS Lambda function handles each source system, so the flows are independent and easy to reason about. Candidate updates from Workable trigger on status change through an integration layer, while InTime, BambooHR and the salary spreadsheet are synced on a schedule, hourly for operational data and monthly for finance data that locks after month close.

The project was accepted against its success criteria: data is sourced correctly from each root system, moved through the serverless flows on AWS, and pushed accurately into Monday.com in line with the client's requirements, giving the team one centralised access point for the numbers that drive the business.
