Challenge

The engagement concentrated on three focus areas, each part of turning a manual chore into a reliable automated pipeline.

Removing hours of manual curation

Updating members on the positions they hold was a manual process that consumed hours each cycle. The solution needed to automate it end to end, from reading the source data to sending the final emails.

Understanding role changes from CRM data

The pipeline had to import member data from Excel held in Dynamics CRM, distinguish individuals with a single role from those with several, and programmatically identify which roles were being started, continued or left, so each email reflected the right change.

Personalised, reviewable and trackable sending

Emails needed to be personalised per member, checkable by staff before a bulk send, and trackable afterwards, with reporting on deliveries, bounces and, where possible, complaints.

Solution

Member data is extracted from Dynamics CRM into an Amazon S3 bucket using an AWS Lambda function or AWS AppSync, with access credentials held securely in AWS Secrets Manager and each extract saved into a timestamped folder. Saving the file triggers the next stage, where a Lambda function reads the rows, distinguishes single from multiple roles, and identifies which roles are starting, continuing or ending.

The solution was designed to automate the client's member role-update communications end to end, from CRM extract through personalised generation to tracked sending, replacing a process that previously took hours of manual work each cycle.

  • Automated role detectionThe pipeline distinguishes members with single or multiple roles and identifies which are being started, continued or left, straight from the CRM data.
  • Personalised generationAmazon Bedrock writes an email tailored to each member's specific role changes rather than a generic template.
  • Human-in-the-loop reviewA sample of ten emails is written to Amazon S3 for proof-reading, so staff sign off the tone and content before the full run goes out.
  • Tracked deliveryAmazon SES sends the approved emails and reports on deliveries, bounces and, where available, complaints.
  • HandoverKnowledge transfer was planned through meetings, Loom tutorials and a live demonstration, with the solution deployed via CloudFormation into the client's own AWS environment.
